Hundreds of students moving through a lot of stages, all run on Google Sheets and manual reminders. A previous agency spent four months on it and delivered nothing the team could actually use.
We built the whole student-success system in Airtable. Every student's stage, the layered reminders, the capacity view and renewals, all in one place the coaches manage from.
Within 14 days, the manager's coaching-meeting load was cut in half, from around 7 hours a day to about 3.5. It's still the team's daily system 18 months on, running roughly 400 students across 7 coaches.
